E-Mail-Efficiency
| |
Emails without a clearly structured subject line or completely without a subject are quite widely spread. Therefore we often have to start reading the text to get an idea of the content.
This identifies the 1st waste of time: time to find out about the content of the email.
By using the structure word in the Outlook-Add-on® "SubjectMarker" we can identify each email much faster.
A clear subject line also makes filing emails much easier. Often the subject line is modified to make it easier to retrieve the email later on.
And this identifies the 2nd waste of time: time for filing the emails.
The Outlook-Add-on® "SubjectMarker" adds a clear subject to your email with only two clicks.
Trying to retrieve an email is also much easier when you can look for a category word. Without this word is much harder to find a specific email.
This identifies the 3rd waste of time: time for retrieving emails.
The Outlook-Add-on® "SubjectMarker" helps us to retrieve emails faster.
Therefore the "SubjectMarker" for structuring the subject line of your emails saves valuable time for reading, filing and retrieving your emails. Moreover the readers of your emails will be pleased to receive your emails with meaningful and clear subject lines.
The following video will show you how easily you can add new words to your personalized menu using the "SubjectMarker" |
The experience I have gained in consulting companies engaged in increasing the efficiency of emails shows that the time for writing, reading, filing and retrieving emails is rising in such a way that it calls for action to increase efficiency and thus save time.
Key points include checking the numerous emails for their meaning and at the same time to increase the quality when writing emails by making better use of existing tools and techniques.
Initiatives to increase efficiency are nowadays no longer limited to the shop floor but it is also quite common to check and distinguish administrative activities whether they are "value-adding” or "non-value-adding”.
Email-communication is more and more becoming a major "time-killer" in our daily work. Having become the backbone of communication in many companies, its right to exist is beyond dispute However, the time needed to deal with emails is growing steadily and already amounts to between one and four hours per day depending on the number of emails (20 – 100 emails/day). Research in the US has shown that it is possible to save up to 20% of this time when making the best possible use of Outlook®.
Office consultants in Germany find that many companies are acknowledging the cost-saving potential of an improved email system and have started to include "increased email efficiency" in their continuous improvement initiatives.
It is quite simple to save time with "email-System Outlook®". To grasp the content of an email quicker it would be good if every email had a clear message in its subject line. This can be achieved with self-discipline or simply by using the technical aid Outlook® provides: an add-on called "SubjectMarker". The "SubjectMarker" enables the email user to save subject line keywords and to place these with only two clicks at the beginning of the subject line using the integrated context menu.
| Creating three advantages at once:
According to the feedback from many improvement teams this frees up valuable working time which in turn can be used for other value-adding activities. |
Have a look at the screen shot and see how well the subject marking integrates into "Outlook-News®" einfügt.
Simply add new subject words to the context menu with the green
and delete words which are no longer needed with the red

The Outlook-Add-On® runs under Outlook® 2002, 2003, 2007 and 2010 using Windows-Versions® XP, Vista and Windows 7.
Windows® and Outlook® are registered trademarks of Microsoft® Corporation in the United States and other countries.
